3 Key Factors When Choosing the Right Projector and Screen for Your Event

PowerPoint presentations have dominated conference and meeting rooms for decades now, but with the rise of video production skills and ever simpler and more affordable equipment, multimedia presentations are de rigueur in both business and social settings. It’s no longer unusual to see well-produced programming at events ranging from wedding receptions to reunions to memorial services. Even the relative newbie can make nearly professional presentations.

But producing your presentation is just the beginning of the process. Once you’ve got the film in the can and have edited your presentation to its best possible form, you need a way to present it to your audience. Your choice of projection equipment can have a big impact on your presentation’s effectiveness.

Choosing the Right Equipment

If projection setup is needed, Avista Rentals is your go-to resource. Avista has a wide selection of projection equipment and packages tailored to meet your needs. The type of projector and screen you choose depends on several factors including audience size, room layout and programming source.

Audience Size - There’s a right screen size for different sizes of audiences. The rule of thumb is that the screen should fill about 30% of a viewer’s field of vision. Wider than that causes viewers to move their heads uncomfortably to take in the whole panorama, and smaller screens are, well, too small. Details are hard to see and graphics are hard to read.

Room Layout - While a screen that covers 30% of the field of vision is ideal, room shapes don’t always cooperate. If there are several rows of viewer seating—in a narrow, deep room, for instance—that just isn’t possible. In that case, the combination of projector power and screen reflectance need to be balanced so that everyone can see the content well. And if the room is wider than it is deep, the 2700 Lumen Sanyo Short Throw Projector produces a bright 6' wide image from only 39" away.

What if your room isn’t a room at all? Avista Rentals has a number of outdoor projection packages that let your take advantage of beautiful summer evenings in an al fresco setting, whether on a patio or in a park.

Programming Source - This is where the projector type becomes important. If the programming is run from a computer—PowerPoint presentations or digital photos, for example—you need a meeting and event LCD projector like the 2000 Lumen Meeting & Event LCD Projector. It’s right-sized for a 6-7 foot screen and has VGA hookups for computers plus RCA video inputs for DVD and video sources. It can also be adapted for HDMI, S-Video and other component sources.

If your programming source is prerecorded discs or HDTV movies, TV shows or sporting events, the Panasonic PT-AE3000U 1080p High Definition Projector delivers eye-popping, stunningly realistic programming that is ideally suited for any of Avista's screens up to 8' wide.

Perfect Presentation

Done right, your presentation can keep your audience engaged and comfortable. Conversely, a poorly delivered presentation whether it is video, audio or a combination, will bore audiences to tears.
