Case Study - Tech Company 1,500 Person Ribbon Cutting Ceremony

Avista audio visual production team was approached by long-time client Supermicro in December, 2017, who wanted to celebrate its strong 2017 with its employees, as well as to celebrate the opening of a gigantic new manufacturing & warehouse facility in San Jose, CA. They settled on a January, 2018 date to do an all-employee lunch celebration in the warehouse, managed by The Great Event out of San Jose. For the presentation and awards segment of the afternoon, they came to Avista for our expertise in large-scale audio visual event production, particularly with projection, sound & lighting.

For projection screens that could cover easily cover the entire audience, we spec'd out two large format 11'X20' AV Stumpfl screens. Setup of these screens is shown below:

For projection, we brought in bright Christie 3 DLP 14K lumen projectors mounted on 10' truss, as show below before the lens were mounted:

Audio was a particular concern for the client, as they naturally wanted great clarity for everyone in the room for the CEO presentation as well as the entertainment. We brought out our DAS line array and subwoofers, controlled by our amazing Yamaha LS-9 digital mixer. Under the control of our lead audio tech, this system delivered crystal clear audio to the 1,500 person audience, and great bass response for the music provided by a local DJ and band. Setup of the line array is shown below:

For the ribbon-cutting ceremony, the client had the dilemma of wanting to do the ceremony in front of the building, but not having the space there for all the employees to view the ceremony (nor the time to get them all inside for lunch after the ceremony). This issue was solved by having Avista do a live, wireless video broadcast of the ceremony outside, beaming the live ceremony into the facility with the employees already seated. With the wireless video technology, we were able to not only capture the ceremony for the employees inside to view on the projection screens, but do a walk and talk while the CEO came back inside with the MC. Once inside, the wireless camera did double duty covering the awards ceremony, backing up the fixed camera trained on the podium presenters.

Tieing all this together was 1,000' of XLR cabling and 2,000' of fiber optic SDI cabling, all running to a tech table overseen by our team of audio, video and lighting staff.

The event was flawless, with all  audio visual production components working perfectly together. Thanks to the staff at The Great Event (who handled overall logistics, catering, and stage decor), and of course the client's marketing and executive team!
